When you export donations to a CSV file, you will receive a document containing numerous columns and a large amount of data. Although we strive to keep it as straightforward as possible, the sheer volume of information can still be overwhelming.
In this article, we will go through each column in the donations export file and explain what it represents.
π Date
The date the donation was made. For future recurring donations, this is the date on which the recurring charge is processed. The date format used is MM/DD/YYYY.
π©· Amount
The donation amount the donor choose when donating. For example, if a donor donated $100, the amount column will show $100.
Do not rely on this column to summarize successful donations, as it also includes failed or refunded donations. For example, the column may show $100, but this does not necessarily mean that the donation was ultimately successful.
π΅ Currency
The currency in which the donation was made by the donor. For example, USD for United States Dollar or CAD for Canadian Dollar.
π’ Status
This column indicates whether the donation was successful, failed, or refunded.
π¦ Entity
This column displays the entity to which the donation was made. If you only have one entity, you can disregard this column, as your organization's name will appear here. If you have multiple entities, this column indicates which specific entity received the donation.
π Frequency
The frequency of the donation: whether it was a one-time donation or a recurring donation made weekly, monthly, or yearly.
1οΈβ£ Charge number
This column indicates the charge number within a recurring donation plan. It is not relevant for one-time donations (for which it will always show 1), but is useful for tracking recurring donations. For example, if this is the third recurring charge, the column will display 3.
π£ Campaign
The campaign to which the donation has been made.
π Designation
The designation to which the donation has been made. If you don't have any designations, it will display "general."
π±ββοΈ Donor information
First name, Last name, and Email are always filled, as they are mandatory fields. Phone and address fields (Address Line 1, Address Line 2, City, State, Zip Code, and Country) are filled only if the donor has provided this information, as they are not required by default.
π¬ Comment
If the donor has left a comment with their donation, it will appear in this column.
π° Transaction amount
The final donation amount before fees are deducted. This is the column you should use when you want to accurately summarize successful donations.
The value in this column is usually the same as the value in the Amount column. However, it will differ when the payment processor converts the donation to another currency.
For example, if a donor gives 100 Canadian Dollars (CAD) to an organization with a U.S. Stripe account, Stripe will typically convert the 100 CAD to U.S. Dollars (USD). The donor will be charged in CAD, but the organization will receive the funds in USD.
In the Amount column, we will display 100 CAD, reflecting the amount the donor was charged. In the Transaction Amount column, we will show the USD amount the organization received after Stripeβs currency conversion.
Please note that for failed or refunded donations, the value in this column will be 0, as there was an attempt to donate but no transaction was completed.
β€οΈβπ©Ή Covered fee
This indicates whether the fees for this transaction were covered by the donor. βTrueβ means the fees were covered; βFalseβ means they were not.
βοΈ Fees amount
The total amount of fees deducted from the donation, including both processing and platform fees.
Please note that this data is only available for Stripe and Chariot donations. Donations processed through other payment processors will display "n/a" because we don't receive this information from them.
π¦ Net amount
The final donation amount after fees are deducted. This amount should match the payouts in your bank account.
Please note that this data is only available for Stripe donations. Donations processed through other payment processors will display "n/a" because we don't receive this information from them.
π³ Payment method
The payment method the donor used to make their donation. Obviously, we do not share this information (in fact, we don't even have access to it). We only display the type of payment method - such as card, bank transfer, or DAF - and the last four digits of the account or card number.
π UTM information
If you use UTMs in your links, this data will appear in the UTM data columns. We support UTM Source, Medium, Campaign, Term, and Content.
